COFFEE HOUR CHECKLIST
Set-up at 10 a.m.
Ø TABLECLOTHS – Please get (2) rectangular ones located in lower cupboards in servery area. Ask the custodian on duty that day to get the round red tablecloths when he sets up the round tables.
Ø GLASS MUGS, IRISH-STYLE – Place about (4) trays between the (2) new coffee urns in front of the stage. These mugs are found in the servery area.
Ø CONDIMENTS – Fill (2) sugar bowls and place by each new coffee urn. Fill (2) creamers with the half & half located in middle refrigerator, and put it in the refrigerator until the start of the last hymn for the 11 a.m. service. You may also place the packets of Sweet & Low and powdered creamer from the coffee supply closet on the table next to the new coffee urns.
Ø TEA – Brew 1 to 2 BUNN pots of water and pour in the airpot marked “For Tea” and put out individual teabags. You can cut up a lemon (if available) and put on a plate near the other condiments.
Ø COFFEE – Use ONLY the new coffee urns for coffee only. Fill 55 cups of cold water with 3 cups of the new (black bag) Fair Trade Coffee in each urn. Plug in each urn on the table in front of the stage on the black wooden pedestals.
During the summer months or other “low attendance” Sundays you can just make only 1 urn of regular coffee.
Ø DECAF COFFEE – Use the Fair Trade Decaf Coffee. Fill 1 BUNN pot of cold water and 1 cup of decaf on the BUNN coffee maker and pour into the pump container marked “Decaf.” This will stay warm for hours. You can easily make another pot if needed.
Ø LEMONADE – Fill 3 gallons (according to package instructions on container) in the plastic lemonade container. Put in refrigerator (top portion with the liquid only) until the start of the last hymn for the 11 a.m. service. You may put the rest of the container on the “Children’s Table” (near the east side of the Parish Hall main eatery). Please also put a drip rug under the lemonade urn.
An alternate to low attendance at church is 2 gallons for less waste.
If we have less than 100 people in our coffee hour we should use the alternate method.
Ø COOKIES & OTHER SPECIAL TREATS – Using about 6 - 8 large trays, separate all the cookies (made by your team members) and any other special treats so each platter has a variety to choose from. Place these on the round tables (3) with the red tablecloths; remember to set a platter or two for the “Children’s table.”
Set-up at 11:45 AM
Ø At the beginning of the last hymn, go down to the kitchen and get the creamers from the refrigerator and put out on the table in front of the stage with the new coffee urns.
Ø Put the lemonade on its pedestal by the “Children’s Table.”
Ø Put both airpots on table between the coffee urns in front of the stage.
Ø Have a runner that fills the creamer, sugar, and airpots of decaf coffee and hot water for the tea.
Clean up at 12:45 PM
Ø Wash and put away mugs, saucers, utensils. Dishwasher instructions are on the dishwasher. Hand wash new coffee urns, lemonade container, decaf containers, decaf pots. Put the new coffee urns and pedestals back in the white “Coffee Closet” and the old tea urn, lemonade container back by the BUNN coffee maker. Squeegee the dishwasher counter when done. Linens go in a hamper on the landing outside the back kitchen door for the custodial staff to launder.
(DO NOT TAKE THEM HOME TO WASH)
Thank you for all your help and work. Try to have at least (6) of your team members to help you and assign task to each.
